Privacy policy

This policy explains what personal information FOMO Rentals collects, why, who we share it with, how long we keep it and what your rights are. We have tried to keep it short and plain.
1. Who we are
FOMO Rentals is a trading name of FOMO Studios Ltd, a company registered in England and Wales (company number 11935108), 1 Shacklewell St, London E2 7EG. FOMO Studios Ltd is the data controller for the personal information described here and is registered with the Information Commissioner’s Office (registration ZB185935).

2. What we collect and why
When you send an enquiry or ask for a quote (the Kit List, “Send us your list” and Get a quote forms): your name, email, phone number, company (optional), hire dates, delivery choice and postcode, the kit you are interested in, any file you upload and anything you write in the notes. We use it to reply with availability and a quote. Lawful basis: taking steps at your request before entering a contract.
When you apply for an account: your name, email, phone, job title and address; for companies, the company name, registration number, address, website and Instagram; optional insurance details (broker, policy holder, policy number, expiry date and hired-in kit limit); two trade references (name, organisation, position, work email and work phone); how you heard about us; and the documents you upload (for freelancers, a passport or driving licence and two utility bills; for anyone, an insurance document). We use this to decide whether to open an account and offer credit, to confirm your identity and address, and to prevent fraud. We contact your references to ask how long they have worked with you, your credit limit with them and whether you pay on time. Lawful basis: taking steps before a contract, and our legitimate interest in preventing fraud and lending responsibly. Please tell your references that you have given us their details.
When you hire from us: your account details, contacts, hire dates, the equipment you hire and its value, delivery and collection addresses, invoices and payment status, and any instructions you give us. Lawful basis: performing our contract with you, and our legal obligation to keep accounting records.
When you join the newsletter: your email address and the consent you gave. We use it to send FOMO news and new kit. Lawful basis: your consent, which you can withdraw at any time with the unsubscribe link in every email.
When you visit our premises: CCTV covers the entrances to our building for security and to meet our insurers’ requirements. Lawful basis: our legitimate interest in protecting people and equipment.
When you email or phone us: what you tell us, kept so we can deal with your request.
We do not ask for and do not want special category information (such as health or ethnicity). If a document you upload contains information we do not need, we will not use it.
3. Cookies and similar technologies
Always on, no cookies:
Framer Analytics counts visits and pages without cookies and without identifying you.
Your browser’s local storage remembers your Kit List and your cookie choice on your own device. We cannot see these until you send an enquiry.
Only if you click Accept on the cookie banner:
Google Analytics 4: tells us how visitors use the site (pages viewed, where visits come from, and whether someone sent an enquiry, applied for an account, joined the newsletter or tapped our phone number or email). Google sets cookies to recognise a returning browser.
HubSpot: links your visits to an enquiry or application you send, so we can see what you looked at, and remembers forms you have filled in.
Meta (Facebook and Instagram) pixel: lets us measure and, if we advertise on Meta, reach people who have visited our site. Meta sets cookies to do this.
If you click “Reject non-essential”, none of these load. To change your choice, clear this site’s data in your browser and the banner will ask again. Lawful basis for the optional tools: your consent.
4. Who we share it with
We do not sell your personal information. We share it only with the companies that run our systems, under contracts that limit what they can do with it:
HubSpot: Our customer database: enquiries, account applications and their documents, the newsletter, email (USA and EU)
Rentman: Bookings, quotes and equipment planning (EU)
Xero: Invoicing and accounts (UK, USA, Australia)
Framer: Hosts this website (EU and USA)
Google Cloud: Passes account applications and uploaded files securely to HubSpot (UK (London))
Google Workspace: Our email (EU and USA)
Google Analytics, Meta: Website analytics and advertising, only if you accept cookies (USA and EU)
Stripe: Card payments (UK, EU and USA)
Sentry: Tells us when part of the website or our systems fails (USA)
Card payments are handled by Stripe. We never see or store your full card number; Stripe’s own privacy policy is at stripe.com/gb/privacy.
We may also share information:
with other equipment hire companies through the X-hire Anti-Fraud Network, when we have good reason to suspect fraud (for example names, contact details, copies of documents and CCTV images);
with the police, insurers or our legal advisers where needed to prevent or investigate crime, recover equipment or debts, or defend legal claims;
with a buyer, if FOMO Studios Ltd or its business is sold.
Where information is handled outside the UK, we rely on UK adequacy decisions (including the UK Extension to the EU-US Data Privacy Framework) or the UK International Data Transfer Agreement, so it keeps the same protection.
5. How long we keep it
Enquiries that do not become a hire: 2 years from your last contact.
Account applications and documents: while your account is active, then 3 years after your last hire. Applications we decline: 12 months.
Hire, invoice and payment records: 6 years after the end of the financial year they belong to, because the law requires it.
Newsletter: until you unsubscribe. We then keep your email address only on a suppression list, so we never email you again by mistake.
CCTV: up to 1 month, unless needed to investigate an incident.
Analytics data: Google Analytics keeps it for 14 months.
6. Your rights
Under UK data protection law you can ask us to:
give you a copy of the personal information we hold about you;
correct anything that is wrong or incomplete;
delete it, where we have no legal need to keep it;
restrict how we use it while a concern is checked;
send it to you or another company in a machine-readable form, where you gave it to us for a contract or with consent;
stop using it for direct marketing, or where we rely on legitimate interests, unless we have compelling grounds;
withdraw consent at any time (this does not affect what we did before).
We do not make decisions about you by automated means alone.
Email hello@fomorentals.co.uk to use any of these rights. We may ask you to confirm your identity first. We will reply within one month and there is normally no charge.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).
7. Keeping it safe
Your information sits in the systems listed above, behind individual logins, and only our staff who need it can see it. Account documents are stored privately in HubSpot and are never public. Paper copies, where we have them, are kept locked away. No system is perfectly secure, but if something goes wrong that puts your information at risk, we will tell you and the ICO where the law requires it.
8. Changes
We will update this page when how we use your information changes and change the date at the top. If a change matters to you, we will also tell you directly.
